1. What is the Bulk Pay option?

The Bulk Pay option allows organizations or groups to cover a portion of whole of the race entry fees for 10 or more participants with a single invoice, rather than having each individual pay separately.


2. How do I apply for Bulk Pay?

You must:

  1. Fill out the Bulk Pay Application here
  2. Receive approval and a unique registration code/link.

  3. Distribute the code/link to your team for use during registration.


3. What happens after I submit the Bulk Payment Agreement?

Upon approval, you will be emailed your unique bulk registration code/link as well as invoice and tracking details.

  • The code/link must be shared with all individuals whose entries you are covering. They will use this during registration to have the selected portion of the race entry fee waived.
  • The invoice will be used to track your code/link usage, manage your budget, and pay the final total of entry costs.

It is your responsibility as the bulk pay applicant to monitor the invoice regularly to track your code usage and ensure all participants are registered before the deadline.


4. When does the bulk registration code expire?

The code expires at 11:59 PM on Friday, January 8, 2027, however, you can set an earlier deadline if you would like to.

This means that all participants whose entries you’d like to cover must be registered using your unique code/link by this date. Anyone who registers after this deadline will have to cover the costs individually.


5. When do I have to pay the invoice?

  • Payment Due date: January 22, 2027.

  • Invoices will be sent along with the bulk pay codes/links for tracking
    • Invoice details: each registration will be billed at the list price of the event distance plus a processing fee of 8% + $1. The processing fee is due regardless of the method of payment.
    • If an official ACH invoice is needed for accounting purposes, please email teams@youraustinmarathon.com to request one before the deadline.
  • Unpaid invoices after this date will result in cancellation of all associated registrations and discarded race bibs.


6. How is the invoice calculated?

The invoice amount is based on:

  • Number of code uses

  • Event entry fee at time of registration

  • Portion of entry you have decided to cover
  • Plus a processing fee of 8% + $1.00 per registration


7. What fees are not covered by the Bulk Pay?

Merchandise purchases and charity donations are not covered and must be paid by registrants during checkout.


8. Can the bulk code be used for pre-registered participants?

No. The bulk code cannot be applied to existing registrations. If someone has already registered for the event, they are not able to be refunded or reimbursed.


9. Can I  fill out the entry form for each team member using the code?

No. Each participant must register themselves individually. A company admin cannot register on behalf of others.


10. Can the code be used for any race event?

Yes. It can be used for the Marathon, Half Marathon, or 5K distance.


11. Does the code automatically create a team for my organization?

No. Using the Bulk Pay code alone does not create a team, and creating a team is not required.

However:

  • If you choose to create a team, you’ll need to do so separately by registering as a team captain. Once your team is set up, you can notify event organizers to link your Bulk Pay code to your team by emailing teams@youraustinmarathon.com.
  • If your team is already created before submitting the Bulk Pay form, the event organizers can link the Bulk Pay code to the existing team upon approval.
    • This ensures that anyone who uses the code during registration will have the selected portion of their entry fee waived and will automatically be added to your team.

12. How do participants apply the code during registration?

  • Copy the code from the email.

  • Paste it into the “Promo Code” box at the Check Out page.

  • Press “Apply” to zero out the entry fee.

  • Pay separately for any merchandise or donation items.


13. Who is responsible for managing the code?

The individual who completes the Bulk Pay form is responsible for:

  • Code distribution

  • Monitoring usage

  • Ensuring timely invoice payment
